Volunteers
The CTAP Marlins swim team is organized and led by a community of pool members and team parents. Apart from our coaching and lifeguard staff, we are a 100% volunteer run organization and we need YOUR help to deliver a fun and exciting summer program for our young swimmers! Each of our home swim meets requires over 30 volunteers to keep the meet running smoothly. All CTAP Marlin families are asked to support the team by completing at least 4 volunteer roles throughout the season. Note that in addition to your 4 volunteer shifts, we ask each family to provide at least 2 food donations to the snack bar.
Normal Volunteer Roles
These roles are available to everyone. If training is needed, it will be provided on-site.
Clean Up Crew: Help to break down tables, put away equipment, empty trash, or any other necessary clean-up tasks after the meet.
Data Entry - Helper: Help the trained “Data Entry – Lead” enter results into the meet management software. Results come in from the lane timers on paper and are typed into the computer. Preferred Qualifications: comfortable with computers.
Event Ribbons: Attach award labels to event ribbons and file into individual swimmer's folder throughout the meet.
Head Timer: Support the lane timers by starting two stop watches simultaneously for each heat as backups for any volunteer that needs one. Provide general support to the timing team as needed. Preferred Qualifications: familiarity with the lane timer position.
Lane Runner: Collect timer sheets from the lane timers after each event and deliver them to the data entry team. You’ll get some steps in!
Set Up Team: Arrive early and help set up for the meet (chairs, PA system, tents, banners, computer/printer, etc.).
Snack Bar Support: Support the snack bar to setup, sell, and serve our delicious food items. Or help out on the grill.
Timer: Use our digital stopwatch to time each heat. Two timers work each lane at all times.
Relief Timer: Delivers water and offers breaks to the lane timers throughout the meet. Fill in as a lane timer for extended periods if needed
Trained Volunteer Roles
These roles require training in-advance. The roles will be hidden unless you've been marked as trained in our volunteer system. In most cases, once trained you are likely to take on the role for a significant portion of the season. Data Entry - Lead: Sit in the computer area and enter results into the meet management software. Results come in from the lane timers on paper and are typed into the computer with help from the Data Entry – Helper. If you are interested in this role, sign up for the untrained “Helper” role and you’ll get to see what it’s all about before you commit to the training. Qualifications: comfortable with computers, able to type numbers with one hand on a numpad without looking at the keyboard, training on HyTek’s Meet Manager software in advance.
Meet Official: Ensure that swimmers follow SAAA event rules and call for disqualification if necessary. Officials provide DQ information to the data entry team and may offer supportive feedback to the swimmer. Qualifications: familiarity with DQ codes, stroke and turn training in advance. Starter: Provide the official instructions and start for each event. Ensures that swimmers have a legal start for each heat. Qualifications: starter training in advance. SAAA Training Videos.
U8 roundup: Organize the U6 and U8 swimmers into their designated boxes on the deck and walk them over to the coaches. Qualifications: U8 training in advance.
Announcer: Works in coordination with Starter announcing each race, competitor(s), and sponsors during course of meet. Qualifications: Announcer training in advance.
Snack Bar Coordinator: Arrive early to set up and run the snack bar. Coordinate other snack bar volunteers. Put together and modify food lists as needed. Ensure the snack bar runs smoothly. Qualifications: Snack Bar Coordinator training in advance.
Grill Master: Support the Marlins snack bar by running the grill (burgers and dogs). Qualifications: Comfortable running a grill and willingness to work most home meets.
